Bookings
Let’s Go Tours Rwanda Ltd provides transportation, accommodation bookings, gorilla permit purchases, mountain hiking, car rental, restaurant meals, excursions, and other services in cooperation with independent suppliers and direct clients.
All information in detailed client itineraries is given to the best of Let’s Go Tours Rwanda’s knowledge and is based on the latest information available from both our partners within the same association governed by the Rwanda Tours and Travel Association and the public sector. Let’s Go Tours Rwanda cannot be liable for modified information from third parties, nor for any obvious typographical errors.
To reserve flights and gorilla permits, we require a photocopy of your passport and your confirmed travel dates or gorilla trekking date.
Before confirming a safari, the client must inform Let’s Go Tours Rwanda of any preferences and special requests from participants, e.g., medical needs, dietary requirements, preferred gorilla family, requirements relating to disabilities, and any other requirements. Let’s Go Tours Rwanda will meet these requests where possible.
All packages are subject to availability and are not guaranteed until confirmed. Gorilla permits are always in high demand, and many lodges and hotels offered by Let’s Go Tours Rwanda Ltd have limited capacity; therefore, it is essential to make reservations well in advance of your planned trip.
In the event that you wish to amend your reservation in any way, Let’s Go Tours Rwanda will make the requested adjustment where practicable and possible and confirm accordingly. Let’s Go Tours Rwanda reserves the right to charge an amendment fee based on actual costs, which will be added to the total invoice.
Let’s Go Tours Rwanda reserves the right to change and adjust the tour schedule, transportation, accommodation, and services indicated in the itinerary in the event of unforeseen circumstances before arrival. Any changes to the itinerary will be communicated to the client as soon as possible.
Prices
The prices quoted for the various safaris are as per the itinerary and include the following services, unless stated otherwise: overnight stays in hotels, guesthouses, tents, or lodges; all meals as indicated; sightseeing as detailed in the itinerary; park entrance fees and ranger fees; airport transfers where applicable; ground transportation; English-speaking driver/guides; and bottled mineral water in the vehicle.
Expenses not covered include: international and domestic airfares, visas and passports, meals not mentioned in the itinerary, drinks other than mineral water provided in the vehicle, tips and gratuities for guides and accommodation staff, laundry, travel insurance, and other items of a personal nature.
Prices on the website or quoted to clients are subject to change without notice and are not guaranteed until confirmed in writing.
Let’s Go Tours Rwanda Ltd reserves the right to adjust prices at any time should there be fluctuations in exchange rates or increases in the cost of any element of the tour. The company will, however, make every effort to minimize any increases.
Execution of the Tour
It is a privilege to see animals in their natural habitat, and as such, we cannot guarantee wildlife or game viewing. You must take caution when viewing animals and carefully follow instructions given by the tour guide or wildlife rangers.
A gorilla or chimpanzee permit guarantees that clients will be able to track the primates in question but does not guarantee that the animals will be in plain sight.
Accommodation is based on twin or double-bedded rooms, tents, or lodges with private bathrooms where possible. Single rooms may be available with payment of a supplement fee, but availability cannot always be guaranteed.
Let’s Go Tours Rwanda Ltd reserves the right to substitute equivalent or superior hotels. If a hotel of equivalent standard is not available, Let’s Go Tours Rwanda may substitute the next best available option or suggest superior accommodation (extra charges may apply).
The mode of transport used will depend on the number of clients and the route taken, based on the specifications of the chosen itinerary. Every effort is made to ensure that vehicles are in roadworthy condition, but no liability can be accepted for punctures, breakdowns, damage, or delays resulting from poor road conditions.
Experienced English-speaking driver-guides are a key part of your tour. They are the only persons allowed to drive Let’s Go Tours Rwanda vehicles. The driver’s decision on all matters, such as the route taken, is final.
Let’s Go Tours Rwanda Ltd reserves the right to alter any route or arrangement, cancel the operation of any scheduled tour, or vary safari services in any way in the event of unforeseen circumstances such as road closures, bad weather, problems with national parks or hotels, and security considerations. In such cases, alternative arrangements will be made where possible.
Let’s Go Tours Rwanda Ltd reserves the right to employ subcontractors to carry out all or part of the services agreed upon.
Let’s Go Tours Rwanda Ltd reserves the right to refuse any person from participating in or continuing any tour if, in the opinion of Let’s Go Tours Rwanda or any person in authority, the person behaves in a way that may cause danger, hazard, or inconvenience to any third party, or damage to property, environments, or ecosystems. No refunds will be made, and Let’s Go Tours Rwanda shall not be liable for expenses incurred as a result of such termination.
Payment
All tours will be booked and confirmed only upon receipt of a 40% deposit of the basic program rate. For gorilla permits, full advance payment of the permit fee is required to secure the reservation.
The balance payment is due no later than 30 days before the safari, unless otherwise agreed.
Bookings made within 30 days of arrival must be paid in full at the time of confirmation.
If payment is not received in accordance with the above terms, Let’s Go Tours Rwanda reserves the right to cancel the booking.
Cancellations and Refunds
All cancellation requests must be made in writing and will be effective on the date they are received by Let’s Go Tours Rwanda Ltd.
The following cancellation charges apply to the basic program rate:
- 60 days or more prior to arrival: 10% charge
- 50–30 days prior to arrival: 25% charge
- 30–20 days prior to arrival: 30% charge
- 20–10 days prior to arrival: 75% charge
- 5 days or less prior to arrival: 100% charge
Let’s Go Tours Rwanda Ltd reserves the right to deduct all expenses incurred from any payments received.
Gorilla and chimpanzee permits are 100% non-refundable.
No refunds will be made for any unused services, late arrivals, or no-shows by any member of the tour.
Complaints
Let’s Go Tours Rwanda Ltd shall strive to ensure that the company exceeds expectations in every area of tour arrangements. However, feedback is highly appreciated in order to continuously improve service quality.
Complaints must be reported immediately to a Let’s Go Tours Rwanda Ltd representative and to the supplier of the service in question, who will do their best to resolve the matter. If the issue is not resolved to the client’s satisfaction, the complaint should be submitted in writing no later than 30 days after completion of the tour.
Liability for any complaints not notified in accordance with the above procedure cannot be accepted.
Liability
Let’s Go Tours Rwanda Ltd will make every effort to ensure that all arrangements and services offered as part of the safari are carried out as specified in the most efficient manner possible. However, the company does not have direct control over services provided by suppliers and, although every supplier is chosen with care, Let’s Go Tours Rwanda Ltd does not accept liability for errors or omissions by such suppliers.
Let’s Go Tours Rwanda Ltd shall not be liable for any loss, damage, or injury of any nature whatsoever, whether to person or property.
While every care is taken, Let’s Go Tours Rwanda Ltd cannot be held responsible for direct or indirect costs resulting from loss or damage to baggage or personal possessions.
Let’s Go Tours Rwanda Ltd cannot accept liability or pay compensation for unforeseen circumstances beyond the company’s control, including flight delays or cancellations, or force majeure events such as war or threat of war, riots, civil disturbances, terrorist acts, border closures, acts of government or other authorities, strikes, theft, epidemics, road closures, industrial disputes, natural or nuclear disasters, extreme weather conditions, fire, technical or mechanical problems to transport, and all similar events beyond the company’s control.
It is the responsibility of the travel agency or wholesaler to ensure that all members of the tour have the appropriate passports, visas, travel permits, health certificates, and other required documentation for the safari.
It is the responsibility of clients to take proper medical and practical precautions regarding health and safety. Medical advice should be sought well before travel.
Clients are strongly advised to obtain comprehensive travel insurance before traveling to Rwanda.
The respective laws of the country govern Let’s Go Tours Rwanda Ltd’s liability to passengers carried in its own vehicles. All claims are subject to the jurisdiction of the courts of the country in which the cause of action arises.
